The Executive provides strong operational, administrative, and commercial support across both the core buying function and a dedicated marketplace portfolio. Working closely with the Buyer and Marketplace Manager, this role ensures accuracy across all buying processes, supports the development of supplier relationships, and contributes to the management of marketplace brands.


Key Responsibilities:
1. Intake Management & Order Tracking
  • Proactively chase suppliers on outstanding deliveries to ensure timely fulfilment.
  • Maintain an accurate and up-to-date intake tracker, reflecting all order movements and changes.
  • Actively drive intake through relevant actions such as rephasing and cancellations, and flag potential risks to the Buyer in a timely manner.
2. Buying Operations Support
  • Assist with purchase order (PO) raising and troubleshoot issues in collaboration with the Buying Operations team.
3. Production & Site Accuracy
  • Review the production process to ensure all stock is visible on-site and displayed accurately, including correct pricing, product images, and descriptions.
  • Liaise with suppliers to request product imagery, and coordinate preparation and delivery of assets to the Production team for retouching and uploading.
4. Reporting & Analysis
  • Support the Buyer in the creation of trade, brand, and seasonal reports.
  • Contribute to range and season reviews alongside the Buyer and Planner, identifying strengths and weaknesses and proposing actionable solutions.
5. Cross-Functional Collaboration
  • Resolve and address product-related queries from across departments in a timely and professional manner.
  • Develop and maintain cross-departmental relationships to continuously improve processes and ways of working.
6. Supplier & Brand Management
  • Assist in managing the supply chain and brand base, building strong, professionally reciprocal relationships with suppliers.
  • Maintain a professional and collaborative approach in all supplier interactions, understanding the value of long-term partnerships.
  • Develop a clear understanding of relevant department codes, customer profiles, and evolving buying patterns.
7. Marketplace Portfolio Support
  • Assist with administrative tasks across the marketplace portfolio, including maintaining brand records, coordinating with internal stakeholders, and supporting day-to-day operations.
  • Support the marketplace manager in new brand onboarding, ensuring suppliers understand and adhere to company terms, conditions, and supplier agreements.

Requirements:
  • 1-2 years' minimum working experience in a relevant buying/merchandising role.
  • Experience with international/regional brands and an understanding of the e-commerce business will be a plus.
  • Demonstrated ability to lead a business.
  • Experience of the buying cycle, the associated processes and management of seasonal timelines
  • Highly analytical with a passion for excel and numeracy. Proven experience of data, reporting and analysis
  • Ability to communicate clearly and effectively with brands and internal departments
  • Attention to detail and high commitment to accuracy
  • Pro-active, driven and determined to achieve results in a fast paced working environment.
  • Critical well-rounded thinking of full picture, pros and cons; strong problem solving skills
  • A strong understanding of MS Excel is a must
