People & Culture Executive (People Operations & General Affairs)

ABOUT THE ROLE:
As a People & Culture Executive, you will support the smooth running of ZALORA’s day-to-day People Operations (HR Operations), Payroll & Tax coordination, and Office Administration & Facilities (General Affairs).
You will be a key point of contact for employees and vendors, ensuring employee administration is accurate and timely while maintaining a safe, clean, and productive office environment.
WHAT WILL YOU DO:
Office Administration & Facilities (General Affairs)
- New joiner set-up: Prepare welcome packs and onboarding materials; arrange Face ID and parking access.
- Office operations: Communicate office rules to visitors/suppliers; maintain parking card lists and other access records.
- Supplies & vendors: Manage pantry, stationery, and office supplies; coordinate purchasing and monitor stock levels.
- Facilities upkeep: Oversee cleaners and maintain a clean, safe, hygienic workplace; coordinate repair/maintenance for office equipment (e.g., air-conditioning, lights, scanners, coffee machines, CCTV).
- Green office support: Track and record waste and energy usage in line with the greening programme.
- Event support: Assist with company events (e.g., monthly townhalls, company trips, YEP, hackathons)
People Operations (HR Operations)
- Employee lifecycle administration: Maintain employee files, contracts, and HRIS updates; follow up on probation completion and contract renewals/extensions.
- Insurance administration: Enroll/terminate statutory and company insurance (including dependants where applicable) and coordinate with the payroll vendor.
- Claims support: Support employees with health/accident insurance claims and required documentation.
- Compliance reporting: Prepare and submit labour usage/insurance reports to authorities (quarterly/annually).
- Tax admin support: Register and maintain PIT tax codes and dependent information.
Payroll & Tax Support
- Payroll processing support: Support monthly payroll and PIT reporting, including annual PIT finalisation (in coordination with internal stakeholders and payroll vendor).
- Employee support: Respond to payroll/PIT queries; provide accurate guidance and required documents.
WHAT WILL YOU BRING TO THE TEAM:
- 1–2 years of experience in People Operations/HR Ops, Office Administration/General Affairs, and/or payroll support.
- Understanding of employee lifecycle administration (contracts, probation, renewals), insurance administration, and payroll processes (PIT exposure is a plus).
- High attention to detail with strong documentation and data accuracy
- Strong coordination skills across employees, vendors, and payroll providers
- Good communication and service mindset
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Tools: Comfortable with HRIS systems and Google Workspace/Microsoft Office (especially spreadsheets).
